Every month your input tax credit (ITC) depends on one question: do the purchase bills in your Tally match what your suppliers have reported? GSTR-2B answers it. If you reconcile GSTR-2B with Tally before filing GSTR-3B, you claim the right credit, avoid notices and catch supplier mistakes while they are still easy to fix.
What GSTR-2B is, and why it matters more than GSTR-2A
GSTR-2B is an auto-drafted, static statement of the ITC available to you for a month. It is built from your suppliers' GSTR-1/IFF, GSTR-5 and GSTR-6, and from import data. Once it is generated for a month it does not change, which makes it the right document to match your books against.
GSTR-2A, on the other hand, is dynamic: it keeps changing as suppliers file late or amend invoices. It is useful for follow-up, but it is not a stable base for a monthly claim.
The four results of a reconciliation
When you compare GSTR-2B with your purchase register in Tally, every invoice falls into one of four groups:
| Result | What it means | What to do |
|---|---|---|
| Matched | Same GSTIN, invoice number, date and tax in both | Claim ITC |
| Mismatched | Invoice found in both, but amount, tax, date or number differs | Check the bill; ask the supplier to amend, or correct your entry |
| In books, not in 2B | Supplier has not filed, filed late or used a wrong GSTIN | Do not claim yet; follow up with the supplier |
| In 2B, not in books | Bill not entered, entered in another month, or not your purchase | Find the bill and enter it, or report the invoice if it is not yours |
Step-by-step: reconcile GSTR-2B with Tally
- Download GSTR-2B. Log in to the GST portal, go to Returns Dashboard, choose the financial year and the month, and open GSTR-2B. Download the Excel file.
- Export your purchase register from Tally for the same month, with party GSTIN, supplier invoice number, invoice date, taxable value and each tax (IGST, CGST, SGST, cess).
- Clean the key fields. Invoice numbers are the usual trouble: "INV/001", "INV-001" and "001" are the same bill to you but not to a formula. Remove spaces, slashes and leading zeros in a helper column before matching.
- Match on GSTIN + invoice number first, then compare taxable value and tax. Allow a small tolerance (for example ₹1 to ₹10) for rounding differences.
- Sort the results into the four groups shown above and work through the exceptions.
- Talk to suppliers about missing invoices before your GSTR-3B due date. Keep a list of pending bills and check each new month's GSTR-2B for them.
- Claim only eligible ITC in GSTR-3B and keep the reconciliation file as working papers for audit.
Mistakes that make reconciliation slow
- No GSTIN on party ledgers in Tally. Without GSTIN, matching falls back to names, which never agree exactly.
- Supplier invoice number not recorded, or the voucher number is typed in its place.
- Bills entered in the month of payment instead of the month of the invoice.
- Credit and debit notes ignored. They appear in GSTR-2B too and must be matched like invoices.
- Waiting until year-end. Twelve months of differences are far harder to fix than one.
Keep an eye on the Invoice Management System (IMS)
From October 2024 the GST portal added the Invoice Management System, where you can accept, reject or keep pending the invoices your suppliers report before GSTR-2B is generated. Using IMS well means fewer surprises in GSTR-2B, but you still need to match the final GSTR-2B with your books.
Doing it faster with Quick2Tally
Most of the effort above is copying, cleaning and matching data. QuikAccount by Quick2Tally brings GSTR-2A/2B data from the GST portal into Excel and imports it into Tally, matching parties to your existing ledgers by GSTIN so duplicate ledgers are not created. You can also fill party details from GSTIN when creating new ledgers. That leaves you with the part that needs an accountant: deciding what to do with the exceptions.
