Small data entry mistakes in Tally rarely look serious on the day they happen. They show up later: in a GST return that does not match, a party balance that is wrong, or an audit query in September. Here are the ten mistakes we see most often in Tally data, and how to stop each one.
1. Duplicate vouchers
The same bill entered twice, often because it arrived on email and on WhatsApp, or because two people entered it. Fix: always record the supplier's invoice number, check it before saving, and use an import tool that skips invoices already in Tally.
2. Wrong date or wrong month
Bills entered on the payment date instead of the invoice date, or dates swapped between DD-MM and MM-DD. This moves tax into the wrong GST month. Fix: enter the invoice date, and check that dates in Excel are real dates in one format before importing.
3. Wrong GST ledger or rate
IGST used for a local supplier, or 18% chosen where the item is 12%. Fix: set GST details on stock items and ledgers so Tally calculates tax, rather than choosing tax ledgers by hand on every voucher.
4. Missing or wrong GSTIN on party ledgers
Without the correct GSTIN, sales do not appear correctly in GSTR-1 and purchases cannot be matched with GSTR-2B. Fix: validate GSTINs when creating ledgers. Filling party details from the GSTIN avoids typing name, address and state by hand.
5. Duplicate ledgers for the same party
"Sharma Traders", "Sharma Trader" and "SHARMA TRADERS" as three ledgers, with the balance split across them. Fix: search before creating a new ledger, and identify parties by GSTIN during imports.
6. Everything posted to Suspense or Sundry
Bank entries posted to a suspense ledger "to be sorted later", and later never comes. Fix: clear suspense every week. For bank statements, a tool that suggests ledgers from your past entries removes most of this work.
7. Negative stock
Sales entered before purchases, or units mixed up (boxes vs pieces). Negative stock gives wrong valuation and gross profit. Fix: enter purchases first, keep units consistent, and review the negative stock report before month-end.
8. Narration left blank
Six months later, nobody remembers what a ₹48,000 journal entry was for. Fix: make narration a habit; when importing from Excel, carry the bank narration or invoice reference into the voucher narration.
9. Bank not reconciled
Unreconciled bank accounts hide missing entries, double entries and bank charges. Fix: reconcile every month. Our guide to bank reconciliation in TallyPrime shows how.
10. Retyping data that already exists
Sales from billing software, marketplace reports, bank statements and GSTR-2B already exist digitally. Retyping them is the root cause of many mistakes above. Fix: import them. See how to prepare your Excel file for Tally import.
A five-minute month-end check
| Check | Where in Tally |
|---|---|
| Suspense ledger is zero | Ledger report of the suspense account |
| Bank is reconciled | Banking → Bank Reconciliation |
| No negative stock | Stock Summary / negative stock report |
| GST returns show no exceptions | GSTR-1 and GSTR-3B reports |
| Party balances look right | Outstanding receivables and payables |
