How to Import a PDF Bank Statement in TallyPrime

Most banks send statements as PDF, and TallyPrime cannot read a PDF on its own. Typing 200 bank lines by hand takes hours and invites mistakes. With QuikAccount you scan the PDF into Excel, let Auto Ledger fill the party names, and post every line to TallyPrime as receipt, payment or contra vouchers in a few minutes.

Flow: PDF bank statement, Scan Docs, CASH & BANK sheet, Auto Ledger, Validate, TallyPrime vouchers

In short: Connect Tally → Scan Docs on the CASH & BANK sheet → check dates and amounts → Auto Ledger → Validate → Export to Tally.

Before you start

  • Windows PC with Microsoft Excel 2016 or above and QuikAccount installed (download the free trial).
  • TallyPrime or Tally.ERP 9 running on the same computer, with your company open.
  • The bank statement as a PDF (downloaded from net banking) or a scan/photo (JPG). You can select several files, up to 15 MB in total.
  • OCR credits: Scan Docs uses one credit per page. Your balance is shown on the Registration sheet and in the Scan Docs window.
  • An internet connection – the PDF is read by an online OCR service.
  • Is the PDF password-protected? Open it once with the password and save a copy without it before scanning.

Step 1 – Connect Tally and choose the bank ledger

  1. Open your company in TallyPrime.
  2. Open QuikAccount and go to the CASH & BANK sheet.
  3. Click Connect Tally (Ctrl+T). The Tally Company box at the top right of the ribbon shows the company name, GSTIN, state and books start date. Check that it is the right company.
  4. In cell F1, select the bank ledger exactly as it is in Tally (for example HDFC Bank A/c). Every row of the statement is posted against this ledger.
  5. Check the Financial Year on the Registration sheet covers the statement dates.

Step 2 – Read the PDF with Scan Docs

  1. On the CASH & BANK ribbon, click Scan Docs (Utilities group).
  2. Select the document type Bank Statement.
  3. Click Choose Files and pick the PDF (or JPG) files of the statement.
  4. Click Process Files. The OCR service reads every page; the result is saved in the ScanDocs folder.
  5. Click Load Data and pick the result file. The sheet is filled from row 3: Voucher Date, Particulars (narration), cheque / instrument number, Withdrawal and Deposit.

Already have the statement in Excel from net banking? Skip Scan Docs and paste the columns straight into the sheet – no OCR credit is used.

Step 3 – Check dates and amounts

OCR is very accurate on clear PDFs, but always look over the sheet before posting:

  • Dates (column D) must fall in the selected financial year.
  • Each row must have an amount in only one of Withdrawal (column L) or Deposit (column M). Leave the other blank – do not type 0.
  • Amounts with commas, spaces or text such as Cr / Dr? Click Clean Amount.
  • Opening balance, closing balance and page total lines from the PDF are not transactions – use Delete Row to remove them.
  • Compare the column totals in row 1 with the statement’s total debits and credits.

Step 4 – Fill party and expense ledgers with Auto Ledger

  1. First time only: click Learn from Tally. QuikAccount studies your past bank entries in Tally and learns which narration belongs to which ledger.
  2. Click Auto Ledger. Rows with a known narration get their Party/Expense Name in column H.
  3. Click Fill Empty Party for the rest, or type a name. Double-click a cell or press Ctrl+Shift+S to search the Tally ledger list.
  4. A ledger that is not in Tally yet? Type the new name – it is created when you validate.
  5. Click Save Rules. Next month the same narrations are filled automatically. View Rules lets you edit them.

Step 5 – Validate and export to TallyPrime

  1. Click Validate (Alt+Shift+V). Cells with errors turn red and are listed on the Error sheet with a link to each cell.
  2. New ledgers are copied to the LedgerCreation sheet. Open it, choose the parent group, click Validate and Export to Tally, then come back.
  3. Validate again until you see Validation Success.
  4. Click Export to Tally (Alt+Shift+E). The Report sheet shows every voucher with its status.

The voucher type is decided for each row: Contra when the ledger in column H is a cash or bank ledger, Payment when there is a withdrawal, otherwise Receipt. Tick Manual Vch Type to choose it yourself in column A.

Step 6 – Check the entries in TallyPrime

  • Open the Day Book or the bank ledger in TallyPrime for the statement period. The closing balance should match the PDF.
  • The particulars from the statement are in each voucher’s narration, and cheque numbers in the instrument details.
  • Filled the Banker’s Date column? Those entries are already reconciled in Tally’s Bank Reconciliation.
  • Posted something wrong? Use Report → Delete Vouchers in QuikAccount to remove that batch from Tally, correct the sheet and export again.

FAQ – Can TallyPrime import a PDF bank statement directly?

No. TallyPrime’s own bank statement import takes CSV or Excel files downloaded from the bank portal, but not PDF statements or Excel files converted from PDF (Tally help). QuikAccount fills this gap: Scan Docs reads the PDF into Excel and QuikAccount posts the rows to Tally as vouchers.

FAQ – Does it work with scanned statements and Tally.ERP 9?

Yes. Scan Docs reads digital PDFs as well as scanned PDFs and JPG photos. The entries can be posted to TallyPrime (any release) or Tally.ERP 9.

FAQ – Can I get a Tally XML file instead?

Yes. When you click Export to Tally, answer No to the question about sending data to Tally. Click Software Folder on the Registration tab; the file is filexml.xml. Import it in Tally with Import → Transactions.
